  1. Multiple building fields on Personnel tab

    It would be very helpful to show all buildings if an employee actually works at more than one location on the Personnel tab. If we had a primary building and alternate buildings showing it would be great to have these new fields available in Data Mining. Users now run building reports in DM but the employee may not be on their list since it does not appear in Personnel as the "main" building so the report is not accurate.     Thank you for submitting and voting on this Idea. We’ve spent some time here at Skyward doing research for this request and have determined after a thorough analysis that we will not be pursing this development.

    We discovered, that if we add multiple buildings to the employee profile, this change would create large ramifications. Building is found in many places throughout the system and the effort, impact and risk to update is not something we will be able to address at this time.

    We recommend using Employee Management Data Mining to report on Employees and all their Assigned Buildings.

    In Data Mining use Assignment as the Driver Table, In Field Areas select Position, and under Position select Position Building Code, Position Building state, and Position Building Desc. To report on all buildings associated with an Employee.

  2. Electronic 941

    It would be nice if we could upload electronic 941's. Your website indicates that you have 2,000+ customers so that means that there are over 8,000 paper forms going to the IRS every year. Other software companies are doing this, why not Skyward?

  3. Calendar Codes need to include 1/2 days

    When setting up calendars for employees we need to be able to enter a 1/2 work day for employees. Currently the system only recognizes full days. We use Employee Management and if I put in all the 1/2 days as full days Employee Management does not calculate the salary correctly (because the day count is over stated). The True Time schedule is able to recognize a half day so when an employee puts in a 1/2 sick day on a true 1/2 day it should show the sick hours correctly but it does not because it is showing a full…

  4. District needs widgets to be forced, not suggested

    Widgets need to be forced upon users not merely suggested. This functionality used to be in Skyward but was subsequently removed.

    Included in this use selection parameters to identify who to assign the widget to.

    We suggest using the “Force Widget Suggestions” This process will re-suggest the widget to all users that are currently not using the widget.

    While this option will not force widgets on users, there are technical difficulties that would delay this enhancement. We are taking this request into consideration and working on a Qmlativ solution. At this time we will no longer be considering this enhancement for SMS 2.0.

  5. Quick Add option to invoice entry

    In the Invoice Detail Lines/Accounting a Quick Edit/Add option would save time for invoices with many codes.
    This would be similar to the JE option to have a quick add/edit

    We’d like to thank everyone who voted on this idea and took the time to either respond to requests for feedback or took the time for conversations over the phone.

    We’ve been researching this request and after many conversations decided not to pursue this enhancement. We would love to deliver a quick add option to AP Invoice and fully understand the benefits from the user’s perspective. However, the complexities involved with the various account allocation options significantly complicates our ability to provide a one-size-fits-all approach.

  6. True Time Overseer

    We could really use the ability true time overseer.
    We would like another person to have the ability to approve timesheets in the event the supervisor is absent. We would like the ability to give them permissions to a specific group (like bus drivers) much like with can do with time off overseers...

  7. Combine checks for individual vendors

    It would be great if checks to the same vendor could be combined like they can on the Financial Management side. It is the same concept of having several purchase orders and sending one check to the vendor. The negative impact is that we are wasting paper checks by not combining.

We did not take this request lightly; we’ve reviewed it and conducted a thorough analysis of the project with our development team. Currently, it’s not something on the roadmap for development.

  8. "Other Name" or "Nickname" field

    I would like to see an Other-Name field or Nickname field be added to the "Name" table.
    I'm trying to utilize Skyward as the authoritative source for our staff data. I have found that many employees do not go by their legal first name OR other language(Chinese/Spanish) name i.e. "Cynthia" goes by "Cindy" OR "Hsin Jung" goes by "Amy"... (How does one find Amy in the staff directory when her name is listed as Hsin Jing?

    Why is there an other-name field for students but not for staff?

  9. Bank Rec - Details on Cash Receipts

    I am requesting an option to print cash receipts details when printing the reconciliation report. Right now we just have a "Total Cash" entry as the description under the Cash Receipts section on the reconciliation report. I want to be able to justify the total cash amounts by utilizing the descriptions for each CR entry that was entered without having to go back to each Cash Receipts posted.

    Best Practice recommendation is to enter one cash receipt per batch number when you do cash receipt entry. In addition, go to PaC, System Admin, Fin Mgmt, Install Info, System Options, and make sure the flag for “Budgetary Accounting Update Summarize By Batch” is set to Yes. This will ensure each cash receipt is listed separately in the Cash Receipts area of the bank rec, which will make reconciling much easier.

    If you do not want to enter one cash receipt per batch number, you can use the Receipt Number field on the cash receipt entry screen instead. If you have the software assign a Receipt Number to each deposit, you can create a Cash Receipts report (Financial Management, Account Management, Account Mgmt Reporting, General Inputs History), sorted and totaled by Receipt Number.   10. Add description field to payroll worksheet screen

    This would allow users who are entering a limited access worksheet the ability to put in a description of why an employee is getting the pay. This would help the Payroll department to audit what is being entered and would be retained for historical tracking.
    This has been a road block to using the limited access worksheets in our district.

    We currently have the Transaction Pay Code in Payroll Worksheet which can be used to add a description why an employee is getting paid. Currently, what happens is when you select the Worksheet Detail record into Payroll, it pulls all the deductions/benefits from the Pay Record Pay Code, then renames the Pay Code to the Transaction Pay Code. When it comes through on the check, it’s the Transaction Pay Code, but everything is pulled from the Pay Record with the Pay Record Pay Code. Our suggestion is to create Transaction Pay Codes, but you won’t need to create pay records with them. By doing it this way, you’ll also create consistency between the different records vs a free form description box. This way will also handle any concerns about combining worksheet detail records into payroll transactions.

  11. Would like 'Time Left' field to be available in DM

    Our district sends out letters monthly to employees who have 6 or less sick days left. We are trying to come up with a more streamlined solution than sending out a paper letter. The time left field is currently not available in data mining. If we were able to pull this field for Sick Leave then we could set a range of 0 to 6 days left. This would generate a report with the exact employees that need letters.

    Try this instead:

    Access this same information through Employee Time Off Tracker. With the tracker, you can select employees and the time off codes you want to see. Then on the browse, you can use the filter to see employees with specific amounts. You are able to get the data you need through this method and still use task manager to notify employees.

  12. Holidays split between pay codes

    The goal would be to have the system look at the employees detail schedule and split the holiday pay between pay codes rather then basing it on the primary pay code. The only way to currently do this is to manually split it and this leaves too much room for error.
    The expected outcome would be for the system to look at the detail schedule rather then the primary pay code when determining holiday hours.

  13. Cash Receipts Approval Process

    We are a large district with numerous schools making bank deposits and submitting Cash Receipts in Account Management. Like Budget Transfers and Journal Entries, we would like to see an Approval process put in place so the finance office can review and verify the Cash Receipt transaction before posting it.

  15. Web Cash Receipt Account Button

    In PaC the functionality to click on the Account button takes the user to the Chart of Accounts module so that a user can look up descriptions see history open PO's which helps in cross referencing if the correct code is being used or copy the same description that was utilized before. The web version has three different places to look up the account number but it does not allow the user to go to the chart of accounts or account profile. Why not?

  16. Limiting Time Off Requests to 1 per day

    It would be helpful if there was a configuration option to limit the requested number of Time Off transactions to 1 per day. There currently is an option to 'Prevent employees from requesting more than one day off with a single Time Off transaction' but no option to limit the number of requests to 1 per day. ie: Option to stop the entry of 1 sick day and then 1 authorized day on the same date/time.

  17. Ability to close each month in SBAA

    In Indiana we need to be able to close each month after balancing in SBAA. Our SBOA auditors were recently here and that is something that they required us to do as part of our internal controls. Without being able to close a month the corporation office (and each SBAA school) is unable to verify that they are indeed balancing their bank statements each month.

    By adding the ability to close each month in SBAA corporate office and each principal could verify that the bank balancing had been done. Internal controls is a huge part of the SBOA audit.

  19. Enhancements to Pay Distribution Report

    Make the following enhancements to the Pay Distribution Report:

    1) Add an option to print either the SSN Employee ID or neither

    2) Add the Calc FTE to the report. Since this is sorted by the Account Number we will have to prorate the FTE and add an asterisk to the line if someone has a split distribution.

  20. Ability to mass change expiration dates for certif

    MDE (MN Dept of Education) is upgrading to a tiered licensing system. To achieve this they will be extending all existing teacher licenses by one year from their current expiration date. All licenses expiring 6/30/18 will be extended to 6/30/19. Similarly 19 will go to 20 20 will go to 21 21 will go to 22 and 22 will go to 23. If not able to mass change it will require all schools in MN to manually update the expiration date of all teachers. This will increase the possibility of errors in the future.

    We’ve researched this request and current SMS 2.0 functionality and we suggest trying this instead:

    Create a Data Mining Report from Human Resources > Employee> Data Mining to pull certification information. You can export the Data Mining Report to an excel spreadsheet to mass update expiration dates.

    Then, navigate to Human Resources > Employee > Product Setup> Utilities > Certifications Import. You can re-import the Data Mining spreadsheet with all the updated certification expiration dates.

    Please be sure to verify the Expiration Date is not checked for the Creation Criteria on the import. This process will allow you to mass update all certification expiration dates.
