Student side talk to the AP Side
We do lots of refunds to parents - especially this year when meals were free. It would be so much easier if you could pull up the parent name and address and add it to AP like do an employee.
4 votesThank you for submitting this idea request. We have two suggestions to help assist with paying parents and guardians via AP.
First option: If you’re looking to pay a few parents or guardians, you can navigate to Financial Management > Vendor > Add a Vendor. When using a name that is already set up on the student side as an emergency contact and guardian, the system will find that person and allow you to add them as a vendor directly from that guardian.
Second option: If you’re looking to pay many parents or guardians, we suggest using the Vendor Import. This can be found by navigating to Financial Management > Vendor > Product Setup > Utilities. The import file has a predefined import format and is tab delimited. It is a traditional import with a preview browse and verification report.

Fix Tab Order
It would be helpful to have the tabs hit both the account Amount and the Account Percentage field while in the AP invoice entry screen. Currently it will tab correctly on the first line and then it will skip to the Account Percent for following lines, which the Account Amount is the more used filed. See attached

ACH email to vendor needs to include invoice, description, and amount
When sending ACH emails, currently it is just a generic "you are getting a deposit on this date". This does not help when sending multiple ACHs out with multiple invoices included to the vendor. The vendor does not know where to apply the credit. It would be nice to have the email generate the invoice number, description, and amount that is entered for the check request. The email should show the same information that the check stub shows when you print a regular check.

This functionality already exists in SMS and is hard coded into the system.
The email that is sent to the vendor when an ACH payment is processed contains a breakdown of the invoice information:
1. Direct Deposit Amount
2. Date
3. Invoice #
4. Description
5. Invoice AmountThe above information is only sent in the email itself. There is no preview information in the email setup.
You can go to Product Setup>System Admin>Email History
From here you can find the email sent to the Vendor, expand it, and see the actual info sent to the vendor.Thank you!

Re-print damaged checks without having to update accounting
After printing paper checks but prior to Accounting update, include a question if all checks printed correctly. If the answer is yes, the accounting update proceeds as normal. If the answer is no, populate the list of checks that were printed with a checkbox next to each one. Checks that did not print properly would have the box(es) marked, along with a new print range for blank checks. This process repeats itself until all checks print properly.

Skyward does allow the reprint of checks prior to the Update option.
It is our recommended best practice for all districts to review the checks to confirm they have printed correctly prior to running the update.
During the update process Skyward provides a “triple confirmation”. When updating: you have to click Update, which brings you to the Update screen, then you have to click Update again, and then you receive a final window prompt to confirm you want to update.
The ability to choose to print only certain pages exist through standard printer options.
This idea will remain open for continued voting and commenting by the Skyward user community.

Add Credit Card as a Check Type
When entering invoices, I would think choosing to pay the invoice via Credit Card would be similar to Wire, ACH, or Regular check.
Not sure how complex it would be to link the payment type to the Credit Card section for review/submit/approve options. With paperless options increasing, I feel like this is the time to link the two together.

Attachment to emailed PO's
When attaching documents to a requisition, there is an option to check a box that says "send attachment with PO". It would be helpful if the default to this was "yes" - with the box checked. Staff do not realize they should check that box in order to include the attachment. 95% of the time we would include the attachment with the emailed PO. This would avoid us having to go into each requisition that has an attachment. menu path WF/PU/MR/RE/AT - when you click add file or link.

Epayable payment type
There needs to be a check type for EPayables that processes like a check without printing the check. Currently in SMS our only options are to use the check type "wire" or "manual" which causes the cash to hit on the date that the invoice is posted instead of when the payment is made. This creates the need for journal entries to post the cash in the month it was actually spent. With the increasing need to be paperless, this is essential to properly process payment without having to print a check.

Check Image and ACH Advice of Deposit Image Attached to AP Transactions
With the goal of going paperless, we would like to see the Check and ACH Advice of Deposit Images attached to each payment as part of AP process. (Similar to the way that employee letters are posted to each employee's record.)
The image of the check and advice of deposit is requested frequently by our auditors and as part of the grant reporting process.

Wire Transfer Reference # Set Up
When setting up Wire Transfer Reference # for new fiscal year - allow the district to edit the first four digits to a larger number. With the start of the 20-21 SY - our ACH & Wire Transfer number both begin in the 20xxxxxxx digits which will make it more difficult to recognize whether a voucher is an ACH payment or a Wire Transfer payment. We use Wire Transfer numbers for all of our p-card payments.

Ability to attach payment backup in AP Payment screen
We currently have ability to attach documentation to an invoice but not to the payment itself. In many instances, particularly in the payment of payroll invoices, MANY invoices makeup one payment and is time-prohibitive to attach to each invoice. It would be helpful to have the attach option to be also available in the AP payment screen.

Ability to view Account Number from Entry and Approval Screen
In the invoices entry, requisition entry, purchase order entry, invoice approval, and requisition approval screens you should be able to see the expense accounts as part of the grid. This would allow you to check the account distribution without having to go into each individual invoice or requisition. Would speed up checking and make entry more consistent.

Visual for Check Request approval
Please allow for a visual in the check request approval that views the same as the visual for the PO/req approval. This would greatly increase the speed of approving check requests as currently you have to click into each check request to see the account number. It would be much more efficient to have a visual displayed like the PO/req system approval.

Allow Spreadsheet Style editing on Invoice Entry Screen
To makes edits on the invoice entry screen you currently have to edit each individual invoice. It would speed things up greatly if you could make edits down the columns just like a spreadsheet. For example, you enter 20 invoices and then realize that the due date needs to be changed. Instead of having to go to each individual invoice you could make a mass edit button that allows you to edit anything in the Invoice Entry grid and just hit enter to be able to move on to the next invoice to edit.

Re-print expense reimbursement
It would be nice if you could re-print the expense reimbursement invoice after it has been moved to history. Currently we can "view" the reimbursement but there is no great way to re-print the reimbursement invoice looking the same.

Search for checks by check # or vendor
Without printing a report - we need a quick way to search for checks that we have processed. The ability to look up a check by check number or vendor name would be very helpful.

employee reimbursements
Allow financial secetarys to submit employee reimbursments on behalf of employees at their building as they know correct accounts, etc. to charge. The office then is able to obtain the original receipt.

Flag to NOT allow duplicate check requests in the Check Request module
Create a feature in Check Request (Finance) that would allow us to not allow a user to submit a check request if a duplicate invoice exists in the system

Option to reprint vouchers in Accounts Payable or a system setting to not move forward until opened
In Kansas, our PR and AP clerks are both having issues remembering to print their vouchers while doing PR and AP. My PR clerk is trying to get into the habit of saving those each time but forgets to do that and print them sometimes. Is there a way to go back and reprint vouchers that you know of? If not then could a setting be added to not move onto the next section in AP until vouchers are printed or at least opened. This is the option if you don't print checks, but would like to see that added…
