Electronic Onboard Module
We're looking for electronic payroll and HR docs and wondering if Skyward will in the future provide this option to purchase. Fast Track only would help with demographic information and assingnment. We're looking for payroll information like their electronic I9, W4, etc. I overheard that it may be an option with Qmlativ. We already use Task Manager for lots of other data but we're looking for something more robust and interactive. We don't want to add another system.

1. How does this affect your day to day duties with using an onboarding module?
2. What system/process do you currently use to work with gathering this payroll information? Do you utilize something like Custom Forms, FastTrack?
3. What features/processes are you looking for with this onboarding module (ie. do employees upload the documentation, review/approval process, profile integration, etc...)

1) We are looking to streamline our onboarding and would love to be able to do it within our HRIS. We do not want to purchase a separate system to integrate into Skyward which is where all of this information is maintained for personnel.
2) This is currently a paper process that we are looking to streamline and create ease of access for our new hires. We do not have an online system. Currently, they have to print out and complete individual forms, much of which is repetitive and causes them extra time and hassle. We'd like this to be a positive and easy access point for them, welcoming them to the district in a positive way.
3) We want this to be a paperless process, with checkpoints so the employee can see what forms are completed and which pieces of information are missing. We would still have to verify identification for I-9, but having electronically completed forms would be a great place to start with employees, helping both our business office and the employee realize efficiencies and access to documents. The information could be directly linked to the profile which is where it is currently manually entered by our staff. -

I'm so happy to see that Skyward is possibly willing to look into an electronic Onboarding module. They do not need to recreate the wheel. So many other HRIS software programs already have this feature and have done it well.
For convenience, I've listed a few videos showing a bit of the Paylocity system. If Skyward could do this, it would be great. The system is user friendly from both the employer and employee perspective. The time savings and efficiencies of a system capable of doing this are immense. At this time, Skyward is doing districts a disservice by not providing a system with this capability. We are all struggling to find work arounds or purchase other software - PowerSchool or Frontline - to scotch tape things together to maneuver around this system deficiency.

1. How does this affect your day to day duties with using an onboarding module?
Currently our HR and payroll departments gather demographic information and payroll documents utilizing electronic pdf documents. This was a recent upgrade from handwritten documents. However, we still need to take this information and manually input it into Skyward in numerous places. The ability to have users enter their own personal information would increase efficiency in our departments and decrease errors that result in staff entering information by hand into Skyward.
2. What system/process do you currently use to work gathering this payroll information? Do you utilize something like Custom Forms, FastTrack?
We utilize Custom Forms for demographic information collection but need to transfer that information into Skyward manually. We also utilize pdf fillable forms for payroll related required documentation. We investigated using FastTrack but found it too cumbersome for our applicants and only provided minimal information (demographic and assignment) that would import into the employee’s profile in Skyward.
3. What features/processes are you looking for with this onboarding module (ie. do employees upload the documentation, review/approval process, profile integration, etc….)
We are looking for a robust, interactive system which allows employees to enter their personal HR/payroll information (and, if possible, also select benefits/deductions). This could include all regular job application fields, State licensing and educational degrees, Fed and State tax forms, WRS enrollment forms, background check fields/sign off, emergency contacts, dependent information, health/dental/vision enrollment, direct deposit information, etc.
With all of the interactive HR and Payroll systems available (ie. ADP, Paycom, Paylocity, BambooHR, Workday, etc.) on the market today, we feel a similar system would be extremely beneficial and save districts time and money from manually processing all payroll and HR documents. Not to mention, the number of errors that can be created by touching this data multiple times. We would like to mirror similar systems in that the employee would complete, electronically sign, and submit the documentation for review and once it has been vetted, HR and or Payroll would be able to submit it electronically to import into the employee’s profile.
Additional Comments: We have explored this idea with our colleagues who utilize Skyward for their financial and HR systems and overwhelmingly, they support the need for this system to be implemented. Along with our colleagues, we have investigated other systems but none are truly interactive with Skyward and would mean we would need to buy an additional system. Doing so, would create another level of redundancy that we all would like to avoid. We have been told and understand this module would not be available through SMS 2.0 but would like to encourage Skyward to look into it for Qmlative.
