  1. W2 Opt Out of Printing

    e spend a lot money printing and mailing W2s each year. We currently use the opt out option but many staff never go into Employee Access even if they would choose to opt out. We have two suggestions for an RFE: (1)Our preference as an employer would be to require our employees to opt in to having us print their W2. Since employees can print their W2 regardless of their choice we are mailing out W2s to a lot of people who don't even wait around to receive it because they can print it and they know it's there.     Great news! The W2 print file process is updated to use the last selected response from the employee’s printing preferences. This is a factor when the employee has not entered a preference for the current year, or when the district is reprinting W2s from a previous year and the employee has since changed their receipt preferences.

  2. Future Term Dates and True Time

    Currently True Time will not allow a user to input time records for employees with a termination date. We enter future termination dates for retiring employees after their retirement paperwork is submitted. This is causing an issue now that we are using true time. Please allow for the entering of time records for employees with termination dates that occur in the future. True Time will only restrict entering time records for employees with a termination date less than the current date.

    Great news! Starting with the 05.20.02.00.07 release an option to use the Term Date to determine True Time eligibility has been added to the District Display settings. This option will be turned on for all existing districts so that no changes to eligibility happen without a change to the District Display settings. If it is turned off, then the term date will not be used when determining if an employee has access to True Time.

  3. Report that can display balances on a range of per

    Currently there is the ability to report on a range of periods in the Revenue/Expenditure report area but there is not in the balance sheet area. You can get the information in the web chart of accounts but you can't run a report on it. We would like the ability to run a report from within the system to get this information without just viewing it only exporting to Excel or doing a print screen.     Great news!

    Budgetary Data Mining has added a new Balance Sheet field, and Ending Balance-Monthly Columns.
    This selection lists a separate column for each month starting at the beginning of the fiscal year to the reporting month.

    This update will be available starting with the 05.20.02.00.06 – Feb 2020 Release (4/16/2020).

  4. Need report showing timeclock exceptions

    I cannot create or find a report that supervisors can use to see if someone has clocked in either early or later than their scheduled start time. While I can find something that shows over or under for the week my supervisors need to be able to quickly look at their list of employees for punches that are outside the established grace period.

    Great News! In the 05.20.02.00.05 Release, Options have been added to the Exception report to check against scheduled start and stop times. These options will provide a user entered grace period and will report an exception when the employee is clocking in prior to or after their scheduled start and end times.

  5. Wanting notice to bldg when absence deleted

    Project Description:
    When we delete or cancel a time off request in Skyward (after it has gone thru the approval process) is there a way that notification could be provided to the secretary or the people in the approval chain? Occasionally we can cancel a professional day or other time off request but we forgot to notify the building secretary who has written it down on paper.
    We would like an email to be sent to the approval chain when an absence has been deleted.

    Starting with the 05.20.02.00.10 (6/11/2020) release Skyward has added ability to default additional people notified for time off.

    Navigate to Product Setup, Employee Access, Time off Setup.

    There is a new tab on the setup-Additional Notification. Click Add, the employee types and buildings are defaulted to all. Employee selection, Notification type and description are required to be entered.

  6. True Time-to allocate Comp time if no pay that wk

    For some staff we are using True Time to keep track of supplemental work. In some cases staff can choose to take all of the time as comp time. But this currently fails because the system will not allocate comp time if there has been no pay for that time sheet. When Payroll processes the timesheet the Time Sheet Summary report correctly shows payroll what is to be paid and which hours are to be allocated toward comp time. The next report is Allocated Comp Time Verification. The "comp time only" hours do not show up on this report and…

    We have recently completed PR 5497638 which allows all hours to be submitted for comp time within TrueTime!


    There is an option within the Timekeeping Rule > Comp Time Tab which you can check to allow ALL hours to be submitted.  This will go for anyone in the timekeeping rule.

  7. A way for employees to opt out printed W2's

    We would like a way for employees to select to receive their W2 electronic once and the system keep their selection until they choose differently so they don't have to select every year.
    Negative impact - Employees don't log into Employee Access every year and we end up printing their W2
    Our hope is once an employee signs up for electronic W2's and 1095-C's they would only have to do this once and not every year. They would always have the option to change back if they wanted to. Our goal is to move away from printing but Federal Government…

  8. Ability to view approved absence details

    It would be most efficient to be able to view approved absence requests (in Transaction Details) from the employee profile screen with the detail afforded to the unapproved absence detail (Unapproved Requests) capabilities. We spend a lot of time going to Employee Access logging in as the employee to view the details of a given approved absence. We do this based on supervisor questions employee question etc.

    I've brought this up at multiple conferences and was told to submit an RFE. I believe this programming update would extremely beneficial to all Time Off users.

  9. FEDERAL GRANTS YEAR JULY 1 - JUNE 30

    Federal grants run from July - June each. I would like to be able to keep the Appropriation/Budget amount when we cross over to the next year. As it is now I must pull the December Appropriation Report RE/EX.Summary report into an excel and then run a detail report and manually insert data into the excel in order to request reimbursement from our State of Indiana for the federal grant expenses. This is very time consuming and on occasion I make errors which then creates errors reported to the state.

  10. Employee Exclude in Vendor Data Mining

    The goal of this request is to allow staff to run reports on true vendors of the district; not staff. Currently if a district uses expense reimbursement all of their employees are also vendors and consequently their employees end up on Vendor Data Mining reports. To filter the report down to just true vendors a staff member would also need to run a list of current staff dump both reports to Excel create a vlookup to compare the reports and then delete the employees from the vendor report.     Starting with the 05.20.06.00.07 Addendum available on 9/3/2020, a new Employee Vendors option is now available in Vendor Data Mining. Selections include:

    1. Every Vendor: will report all vendors.

    2. Vendors who aren’t employees: will exclude employees from the report.

    3. Vendors who are employees: used to only report vendors who are employees.

  11. Hourly Workers with hours should get paid.

    We recently experienced a problem that I believe needs to be address. We had a substitute employee that had 14 hours listed on the hourly worksheet. Payroll was processed without an error or any indication of a problem. Later the employee reported that he was not paid. Upon checking we determined that the hourly rate in the system for the pay code was zero. Yes 0*14=0 and generating a pay check for $0 does not make sense but If a worker has hours and will not receive a pay check there needs to be a warning or error during payroll…

    Starting with the 05.20.06.00.05 release available on 8/6/2020, when users import payroll work sheets the import process will ask the user if they want to import records with a zero for the amount field or the factor. If the user chooses to process these zero records, a messages for these records will display so the user knows which records are zero records.

  12. Data Mining Calculated Field and Add-ons Rate

    I've noticed that I'm not able to pull a report with the EE's calculated hourly rate. I get the hourly rate but all add-ons are annual amounts. We have to run reports periodically with the employee's rate of pay for unions and departments. Is there anyway to make programming changes so that the calculated rate comes through? It's not efficient to have look up each employee then manually piece a report together. Also the hourly add-on screen doesn't show the hourly rate for the add-on. Can this be added?

  13. EmpMgmt Background Color Change with Plan Year

    Student Skyward has the ability to insert coding behind the scenes allowing for differing background colors between the current year scheduling and future scheduling. The same thing is needed in Employee Management to help differentiate between Plan years. This would prevent you from accidentally making a bunch of changes in a different EmpMgmt Plan year than what you were intending. This happens a lot during the spring and summer when you have created your new plan for the upcoming school year and are making updates to both the current plan year and the future plan year at the same time.…

    With the 05.20.10.00.01 release available on 10/8/2020, Employee management/salary negotiations are updated to display a “Future Year” or “Previous Year” header when in plans that are based in the future or past.
    This setting will be comparing the Plan Year to the Current Calendar Year in FM config.

  14. Add Two Factor Auth (2FA) options

    This enhancement would significantly increase the level of security for our Skyward Finance system by adding another level of security which would require something the user has ( not just userid and password ) before they would be allowed to logon. Based on the current types of attacks against systems and seeing that Skyward runs our payroll account payable and has all the information about employees (including SSN) adding 2FA would significantly reduce the risk of access from the outside because of a stolen password/user id.

    To give maximum flexibility this should be a security level added to the user.…

    Skyward is releasing a native Multi-Factor Authentication (MFA) option for users that use Skyward credentials to log in. This will be available in Addendum 09, available on May 23rd, 2024.


    Single Sign-On Configuration has been relabeled to Authentication Configuration in the following system locations:

    • Product      Setup > Skyward Contact Access > District Setup > Configuration
    • Product      Setup > Skyward Contact Access > Security > Product Setup >      Configuration
    • Product      Setup > Skyward Contact Access > Security > Security Groups >      Web Product Setup


    A “Require MFA” option and associated column has been added to the following system locations:

    • Product      Setup > Skyward Contact Access > Security > Users > Employee      Access
    • Product      Setup > Skyward Contact Access > Security > Users > Secured

  15. Work Comp Report

    Several districts in the south central Kansas region would like to be able to create a work comp report. This report would be helpful annually for the work comp audit. Several of these districts have contacted Skyward service calls for help in the creation of this report and with the help of Skyward customer service agents the process is still manual. You can either run the wage data and manually leave data or vice versa. We are requesting that a report be generated that eliminates the manual entry.     The Work Comp Report will be available in the 05.20.02.00.02 & 05.19.10.00.11 releases.

    Prior to running the report you will need to navigate to Human Resources > Employee > Product Setup > Codes > Pay Codes to add the Workers’ Comp Code to Pay Code Maintenance. This is also available on PaC.

  16. Employee Access Time Off

    We have currently implemented employee access time off. We have two employees who deal with arranging subs rather a program that does this for us. We have asked employees to select these two individuals every time they make a request. As an approver however you can't tell if this has happened or not. Is there a way to add a field so the approver can see who has been selected for the email or pre-populate these names so they don't have to be selected each time?   17. ACA information in employee access.

    Need employees to be able to view their current dependents name birthday and social security number under their employee access. Do not want the employee to have the ability to edit just view.
    When 1095's were submitted last year if a social security number birthdate or name (especially those who recently married) did not match with social security administration the district was notified to make corrections. I was told in the future if employee and employee dependent information is submitted wrong it can result in fines charged to the employee.   18. Ability to mass inactivate employees profile-date

    I would like to see a utility in Mass Processing where you can mass deactivate employee profiles with the same termination/resignation date. For example all of our resigning teachers resignation/term dates are 8/31 of each year. Rather than touch each employee's profile to inactivate put in a resignation date and select all other records that need to be marked as inactive individually I'd like to see a mass processing utility where all like employees can be deactivated at once. We have upwards of 50+ teachers that resign each year. This utility would be a great time saver.

  19. Cash Receipts Approval Process

    For large districts where there is segregation of the receipting process there needs to be an approval process in the system just as there is for journal entries to reduce the risk of incorrect information being posted into the system. Currently the work around is have one person enter the receipt and another person review it and actually doing the batch update. The batch update is the pseudo approval process.

    For audit purposes you should be able to provide information to the auditor as to who entered it and who approved it. Just as the "Created by" name is listed…

    In 2018 we completed a series of 16 projects to Enhanced Check Request Approvals.

    The Check Request approval process was enhanced to use the new approval process and records of previously updated approval processes in Purchase order Requisitions and Expense Reimbursements. We also released Account Group Approvals in the first wave of released enhancements (05.18.06.00.00 6/14/18)

    We added the ability to approve and reroute Cash Receipts. (05.18.06.00.09 8/30/18)

    We added Auto Approvals. (05.18.06.00.10 9/13/18)

    We added cash receipt approvals to mobile. (05.19.02.00.01 2/14/19)

    With the 05.20.10.00.01 release available on 10/8/2020, notifications can be configured to display for Unsubmitted Time Sheets. The notification will be displayed as an alert in the header of the screen. The number of weeks to look back can also be configured. An option has been added to the Timekeeping Rule to display a notification to the employee when they have unsubmitted time sheets. Turn it on and enter a number of weeks.
