How often are you doing these manual calculations? Is there periods during the school year that you need to run these calculations more often than others?
Could you explain what would you expect the system to do differently to help with your calculations?

Can you help me understand this idea better?
How often are you doing these manual calculations? Is there periods during the school year that you need to run these calculations more often than others?
• The proration of accrued leave is done throughout the year, every month, every day when New staff arrive and when Resigned staff leave.
• It is checked daily in the Task Manager, but the proration of the leave is only done if someone new joins or someone resigns and leaves.
Could you explain what would you expect the system to do differently to help with your calculations?
• We are looking for an automated process to prorate accrued leave when someone starts later than the 1st of the month or leave prior to the last day of the month.
• Leave is accrued monthly on the 1st of each month.
o When New staff start after the 1st of the month, the leave is manually prorated.
o When Prior staff resign before the last day of the month, the leave is manually prorated.
MANUAL CALCULATION
• If there are 23 work days available in that calendar month and an employee working the full month earns 11 hrs. of SICK Leave, and a New Employee starts mid-month and only works 10 of the 23 days, the leave is prorated accordingly.
o IE 10 / 23 = . 0.4347826086956522 / 11 sick hours = 4.78 or rounded to 4.75 Prorated Sick leave hours for that month.
As stated in a previous email, we would be open to a simpler proration of the leave allocation. For Example if the system could prorate based on if they are hired /resign on or before the 15th of the month, the system prorates HALF of the accrued leave and if they are hired / resign on or after the 16th of the month, the system prorates ALL of the accrued leave. As long as we are able to change the way we prorate at the beginning of the year and treat all employees the same, we can be ok.
I wouldn’t want to change this proration mid-year as it wouldn’t be prorated the same across the board for everyone prior to the implementation vs after the mid-year implementation.
