  1. UTILITY TO PURGE COMMODITY CODES NOT USED

    Add a Utility to purge commodity codes that are not used in a specific time frame.

    You are able to delete the commodity codes through Web Financial Management > Purchasing > Product Setup > Codes > Commodity Codes.

    These codes cannot be tied to an active requisition when being deleted.

    If you are unable to delete these codes or the "Delete" button does not appear, you will likely need to look at security access.  At least level 3 security access is required to be able to edit or delete.  If you do need help assigning the correct security access, a service call to our customer success team would be a great place to start.

  2. Receiving Option to Mark Completely Received

    Currently, the only reportable way for AP staff to know that an order is completely received is for them to go through each order and check for all items received, then they can manually mark it as completely received.

    In order for staff in AP to know when an order has been completely received, there should be a checkbox for the person checking in the order (that may have been received over multiple days/weeks) to check when the last item has been received and the PO is completely received.

    We are assuming you have separate employees doing the PO and receiving entry versus the invoice entry? If this is true, then the invoice entry staff do not know when the PO/receiving staff have fully received the items?


    Our suggestion is that whoever is entering in the receiving records should go out to the PO and change it to fully received when they have received all the items. Then when the AP employee adds the invoice in using that PO it comes in as fully received and the AP employee does not have to look at any of the receiving records.

  3. Notification when PO gets approved

    It would be nice to have an option to send an email to whoever is in charge of doing the ordering of newly approved purchase orders. For example, I do the ordering, but I am not part of the approval process. When a requisition finishes getting the approvals it moves into a batch purchase order. Currently someone has to tell me that the purchase order is out there or I have to physically go check if there is something new. Most people assume that I am notified, but I am not so new purchase orders can sit out in batch…

    Thank you for submitting this idea. We suggest trying this instead:

    (1) A Requisition/PO Listing report template can be created for just Batch status POs (WF\PU\RP\RP).

    (2) After the report is executed, from My Print Queue, select the report and press the Tasks button.

    (3) On the next screen there is a Schedule This button to create a scheduled task for the report.

  4. Add to PO printing config the ability to have "Blanket PO" printed on hard copy

    If a PO is flagged as a "blanket po" to have that printed on the purchase order like it shows on the Req.

    Thank you for submitting this idea. We suggest that you try this instead:

    Navigate to Web Finance > Purchasing > Setup > Configuration > Purchase Order Printing Setup to define your PO Form Definition. There is a checkbox at the bottom of the page under “Additional Parameters” to “Print Notes with POs and Requisitions”. The Print Notes with PO’s and Requisitions will print any attached notes with it. So we recommend putting in an actual note that says Blanket PO.

    Next, navigate to Web Finance > Purchasing > Set Up > Configuration > Requisition Entry Setup Options > Requisition Entry Options to define your Requisition Entry Options.

    Finally, verify in System Admin > Financial Management > Financial Management Configuration that you have “Use Print Engine Purchase Orders” checked.

    This set up will allow you to print “Blanket PO” on a Purchase Order.
